GST, payment gateway charges, third-party charges, and government taxes may not be refundable depending on the stage of payment, invoicing, and service delivery.
3. General Refund Principle
WPCrafters provides service-based digital work. Website projects involve consultation, planning, design, development, technical setup, hosting configuration, content review, project management, and support.
Because of this, payments are not automatically refundable once work has started.
Refund eligibility depends on:
- Whether work has started
- How much work has been completed
- Whether hosting or infrastructure has been provisioned
- Whether third-party costs have been incurred
- Whether the delay or cancellation is caused by the client
- Whether WPCrafters failed to deliver for reasons within our control
- Whether the service is a new project, renewal, or one-time package
4. Non-Refundable Items
The following items are non-refundable once incurred or completed:
- Website planning work
- Discovery calls and consultation time
- Project strategy work
- Content review
- Content structuring
- Website architecture planning
- Design work already completed
- Development work already completed
- WordPress setup and configuration
- Theme setup
- Plugin setup
- Contact form setup
- Basic SEO setup
- Speed optimisation work
- Security configuration
- Hosting setup
- Server provisioning
- Backup setup
- Domain registration
- Domain renewal
- DNS configuration work
- Third-party plugin costs
- Third-party theme costs
- Third-party tool costs
- Premium license costs
- Payment gateway charges
- Administrative time
- Project management time
- GST, taxes, or government charges where already invoiced or paid
- Any work completed based on client approval or instruction
If WPCrafters purchases a domain, plugin, theme, hosting service, software license, or any third-party tool on behalf of the client, that cost is non-refundable once purchased.
5. 48-Hour Cooling-Off Period
If a client makes a payment and requests a full refund within 48 hours of payment, WPCrafters will issue a full refund provided that:
- No work has started during that period
- No third-party cost has been incurred during that period
- No domain, hosting, plugin, theme, or license has been purchased during that period
To use the cooling-off period, email hello@wpcrafters.in within 48 hours of payment with your invoice number and a clear refund request.
Payment gateway fees and bank charges may still be deducted from the refund amount.
After 48 hours, the standard refund terms described in this policy will apply.
6. Refund Before Project Starts
If the client makes a payment, the 48-hour cooling-off period has passed, but the project has not yet started, the client may still request a refund.
In this case, WPCrafters may issue a refund after deducting:
- Payment gateway charges
- Bank charges, if any
- Administrative processing cost, if applicable
- GST or tax amounts that cannot be reversed
- Any third-party cost already incurred
- Any consultation or planning work already completed
If no work has started and no third-party cost has been incurred, WPCrafters may issue a full refund minus applicable payment processing charges.
7. Refund After Project Has Started
Once the project has started, payments are not fully refundable.
If the client cancels after work has started but before final delivery, WPCrafters may provide a partial refund after deducting the value of work already completed.
Work already completed may include:
- Discovery and requirement review
- Website planning
- Sitemap creation
- Wireframe or layout planning
- Design work
- WordPress setup
- Hosting setup
- Theme or plugin setup
- Content setup
- Page development
- Technical configuration
- Project management time
- Client communication and revisions
- Any third-party cost already incurred
The refund amount will be determined by WPCrafters based on the stage of the project and the work completed.
No refund will be provided for work already completed.
8. Managed Website Plan Refunds - ₹75,000 Year 1
The Managed Website Plan Year 1 fee covers website setup, design, development, launch support, and first-year managed service as per the agreed scope.
8.1 Before Work Starts
If payment is made but no work has started, the client may request a refund.
A refund may be issued after deducting:
- Payment gateway fees
- Administrative charges
- GST or tax amounts that cannot be reversed
- Any third-party cost already incurred
8.2 After Planning or Discovery Starts
If planning, discovery, content review, sitemap work, or project setup has started, WPCrafters may deduct the value of the completed work before issuing any refund.
8.3 After Design or Development Starts
If design or development has started, only a partial refund may be considered.
The deduction may include:
- Planning work
- Design work
- Development work
- WordPress setup
- Hosting setup
- Plugin or theme setup
- Project management time
- Any third-party cost incurred
8.4 After Website Delivery or Launch
Once the website has been delivered, approved, launched, or made available for review, the Year 1 payment is non-refundable.
Minor bugs, corrections, or reasonable revisions do not qualify for a refund. WPCrafters will attempt to fix valid issues within the agreed scope.
9. Annual Renewal Refunds - ₹50,000
Annual renewal payments cover continued hosting support, website maintenance, limited monthly content updates, technical support, backups, updates, and related managed services.
Renewal payments are non-refundable once the renewal period begins.
If the client cancels during the renewal year, no pro-rata refund is provided.
This applies even if the client does not fully use the included support, maintenance, or monthly content update allowance.
10. Exception for Renewal Refunds
A renewal refund or credit may be considered only in exceptional cases where WPCrafters is responsible for a serious technical failure that causes extended service disruption and we are unable to reasonably fix, restore, or provide an alternative solution.
Examples may include:
- Extended website downtime caused by WPCrafters-managed infrastructure failure
- Repeated failure to provide core managed service obligations
- Loss of service caused by WPCrafters’ direct technical fault
- Inability to restore the website where WPCrafters was responsible for backup management
This does not apply to issues caused by:
- Contabo outage
- Cloudflare outage
- Domain expiry
- DNS provider failure
- Third-party plugin failure
- Third-party theme failure
- Payment delay
- Client-side changes
- Client sharing access with third parties
- Malware caused by client negligence
- Client modifying the backend without informing WPCrafters
- Force majeure events
Where an exception applies, WPCrafters may offer repair, restoration, service extension, credit, or partial refund at its discretion.
11. Starter Website Refunds - ₹25,000 One-Time
The Starter Website package is a one-time website service.
11.1 Before Work Starts
If the client pays for the Starter Website but work has not started, a refund may be issued after deducting payment gateway fees, administrative charges, and any third-party costs already incurred.
11.2 After Work Starts
Once planning, setup, design, development, or content work has started, refunds are not guaranteed.
A partial refund may be considered after deducting completed work.
11.3 After Delivery
Once the Starter Website has been delivered, approved, launched, or made available for review, the payment is non-refundable.
WPCrafters may fix reasonable bugs or issues within the agreed scope, but this does not create a refund right.
12. Refunds Due to Client Delay
No refund will be provided if the project is delayed, paused, or incomplete because the client fails to provide:
- Website content
- Logo or brand assets
- Firm information
- Service details
- Contact information
- Images or documents
- Domain access
- Hosting access
- WordPress access
- DNS access
- Required approvals
- Feedback
- Payment
- Clear instructions
If the client delays a project for more than 30 days, WPCrafters may mark the project as paused.
If the client delays a project for more than 60 days, WPCrafters may treat the project as abandoned unless otherwise agreed in writing.
Restarting a paused or abandoned project may require additional fees.
13. Refunds Due to Scope Changes
No refund will be provided because the client changes their mind, changes the project direction, requests a different design style after approval, changes the business requirement, or asks for work outside the original scope.
Scope changes may increase the project timeline and cost.
Examples of scope changes include:
- Requesting new pages
- Requesting a new design direction
- Changing approved layouts
- Adding new features
- Adding booking systems
- Adding payment gateway integration
- Adding custom forms
- Adding automation
- Adding third-party integrations
- Requesting advanced SEO
- Requesting copywriting not included in the package
- Requesting branding or logo design
- Requesting custom development
Additional work will be quoted separately.
14. Refunds If WPCrafters Fails to Deliver
If WPCrafters fails to deliver the agreed project within the agreed timeline for reasons fully within our control, the client may request a remedy.
Depending on the situation, WPCrafters may offer:
- Revised delivery timeline
- Priority completion
- Correction or rework
- Service credit
- Partial refund
However, this does not apply if the delay is caused by:
- Client delay
- Missing content
- Late approvals
- Incomplete access
- Third-party outages
- Domain or DNS issues
- Hosting provider issues
- Plugin or theme issues
- Force majeure events
- Change in project scope
- Client-requested revisions
- Compliance review delays
- Payment delay
The 14-day website delivery timeline begins only after payment, content, access, approvals, and all required inputs are received.
15. Refunds for Hosting and Infrastructure
Hosting-related costs are non-refundable once the server, hosting account, or infrastructure has been provisioned.
This includes:
- Server setup
- Hosting setup
- Storage setup
- Backup setup
- CDN setup
- SSL setup
- DNS configuration
- Security configuration
- Infrastructure management time
If a hosting provider such as Contabo, Cloudflare, or any other third-party provider experiences downtime, service disruption, policy changes, price changes, or technical issues, WPCrafters is not automatically required to issue a refund.
WPCrafters will make reasonable efforts to resolve hosting-related issues within its control.
16. Refunds for Domain Registration
Domain registration and renewal fees are non-refundable once purchased.
This is because domain registrars generally do not provide refunds after registration or renewal.
If WPCrafters purchases a domain on behalf of the client, the client is responsible for the domain cost.
Once purchased, the domain belongs to the client, subject to registrar rules and payment completion.
17. Refunds for Third-Party Tools, Plugins, Themes, and Licenses
Third-party costs are non-refundable once purchased or activated.
This may include:
- Premium WordPress plugins
- Premium WordPress themes
- Stock images
- Fonts
- Icons
- SaaS tools
- Form tools
- Analytics tools
- Security tools
- Backup tools
- Email tools
- Automation tools
- Page builders
- Any other paid software or license
If a third-party tool stops working, changes pricing, changes terms, or becomes incompatible, WPCrafters will help where possible, but no refund is guaranteed for the third-party cost.
18. Refunds for Completed Work
No refund will be issued for completed work.
Completed work includes any task that has already been performed, whether or not the client later decides to use it.
This includes:
- Draft designs
- Page layouts
- Website sections
- WordPress setup
- Content upload
- Technical configuration
- Plugin setup
- Hosting setup
- DNS work
- Security setup
- Backup setup
- Website migration
- Consultation
- Project planning
- Revision work
- Client-requested changes
Once time and effort have been spent, that portion of the payment becomes non-refundable.
19. What Happens to the Website After a Refund
The effect of a refund depends on the type and amount of refund issued.
19.1 Full Refund Before Work Starts
If a full refund is issued before work starts:
- No website will be delivered
- No design files will be handed over
- No WordPress setup will be handed over
- No hosting access will be provided
- No project assets created by WPCrafters will be transferred
19.2 Partial Refund After Work Starts
If a partial refund is issued after work has started, WPCrafters may decide what assets, if any, are handed over based on:
- Amount paid
- Amount refunded
- Work completed
- Third-party costs incurred
- Stage of the project
- Whether all dues are settled
WPCrafters is not required to hand over incomplete work, internal drafts, internal processes, reusable templates, proprietary systems, or unpaid work.
19.3 Refund After Hosting Setup
If hosting was set up and a refund is approved:
- Hosting may be terminated
- Website access may be removed
- Server resources may be deleted
- Backups may be deleted after a reasonable period
- Client must request any available export before termination
WPCrafters is not responsible for maintaining hosting or backups after a refund and cancellation unless separately agreed in writing.
20. Refund Request Process
To request a refund, the client must email:
hello@wpcrafters.in
The refund request should include:
- Client name
- Firm or business name
- Invoice number
- Payment date
- Amount paid
- Service purchased
- Reason for refund request
- Any supporting details or documents
Refund requests made through WhatsApp or phone may still need to be confirmed by email for proper record keeping.
21. Refund Review Timeline
WPCrafters will review refund requests within 7 business days after receiving the request and all required details.
Complex cases may take longer if we need to review:
- Project status
- Work completed
- Third-party costs
- Hosting setup
- Communication history
- Client approvals
- Payment records
- Technical issues
- Applicable taxes and deductions
WPCrafters may request additional information before making a decision.
22. Refund Processing Timeline
If a refund is approved, it will usually be processed within 7 to 15 business days after approval.
The actual time for the money to reflect in the client’s account may depend on:
- Bank processing time
- Payment gateway processing time
- Original payment method
- Public holidays
- Payment provider rules
- Tax or accounting requirements
WPCrafters is not responsible for delays caused by banks, payment gateways, or financial institutions.
23. Refund Method
Approved refunds will be processed through the original payment method only.
WPCrafters may require bank details or additional verification before processing a refund.
Refunds will be made only to the original payer or the account used for payment, unless otherwise approved by WPCrafters in writing.
24. Payment Gateway Fees and Deductions
Payment gateway fees, bank charges, processing charges, and transaction costs are generally non-refundable.
If a refund is approved, these charges may be deducted from the refund amount.
If GST or other taxes have already been paid or reported, the refundable tax component will depend on applicable tax rules and invoice treatment.
25. Chargebacks and Payment Disputes
Clients should contact WPCrafters first before raising a chargeback or payment dispute.
If a client raises a chargeback without first contacting us, WPCrafters may:
- Pause the project
- Suspend services
- Suspend hosting
- Stop support
- Withhold handover
- Contest the chargeback
- Recover costs, fees, or losses caused by the dispute
A chargeback does not cancel the client’s liability for work already completed, third-party costs incurred, or services already provided.
26. No Refund for Business Outcome
WPCrafters does not guarantee business results.
No refund will be issued because the website does not generate a specific number of:
- Leads
- Clients
- Calls
- Form submissions
- Search rankings
- Traffic
- Revenue
- Conversions
- Business opportunities
Website performance depends on many external factors including market demand, brand reputation, content quality, competition, advertising, SEO, client offer, pricing, and business follow-up.
27. No Refund for ICAI or Compliance Issues Caused by Client Content
WPCrafters may create websites for Chartered Accountant firms and may structure websites in a professional and compliance-conscious manner.
However, the client is responsible for ensuring that website content, claims, service descriptions, testimonials, advertising, and online communication comply with ICAI guidelines, professional rules, and applicable laws.
No refund will be provided for issues caused by:
- Client-approved content
- Incorrect firm information
- Misleading service claims
- Unapproved testimonials
- Advertising restrictions
- ICAI compliance concerns
- Client failure to review content before launch
- Client failure to obtain legal or professional advice
WPCrafters is not a legal, accounting, or ICAI compliance advisor.
28. No Refund for Client-Side Changes or Damage
No refund will be provided for issues caused by the client or third parties after WPCrafters has completed or delivered work.
This includes issues caused by:
- Client modifying WordPress settings
- Client installing plugins
- Client deleting content
- Client changing themes
- Client changing DNS records
- Client changing hosting settings
- Client sharing access with another developer
- Client disabling security features
- Client failing to renew domain
- Client failing to pay third-party fees
- Client using weak passwords
- Malware caused by unsafe access or plugins
Repairing such issues may be charged separately.
29. Service Credit Instead of Refund
In some cases, WPCrafters may offer service credit instead of a cash refund.
Service credit may be used for:
- Future maintenance
- Additional content updates
- Website improvements
- Technical support
- Future service renewal
- Additional development work
Service credit is offered at WPCrafters’ discretion and cannot be transferred or converted into cash unless agreed in writing.
